5 Signs Your Video Meeting Tool Is Holding Back Your Online Classes

Many teachers started online teaching with a video meeting app. It was quick, familiar, and it worked. For a staff meeting, it still does.

A class is different. A teacher needs to check understanding, split students into groups, track who showed up, and answer questions without losing the flow. If your tool wasn’t built for that, you feel it. You just might not know what to call it.

Here are five signs the tool is the problem, not you. Along the way, we’ll look at where an AI tutor fits in, since the role of AI tutor in education depends a lot on the platform around it.

Sign 1: You Can’t Tell Who Is Actually Learning

In a meeting, “present” means someone joined. In a class, you need more than that.

Think about your last session. Did you know who understood the lesson? Who was lost? Who joined late and left early? If all you had was a list of names and a grid of small video tiles, your tool is showing you attendance, not learning.

Teachers often fill this gap by asking, “Does everyone understand?” Quiet students rarely say no. A better setup gives you quick polls, simple response tools, and attendance records you can check later. Some classroom platforms include these. Many general meeting tools offer only part of the set, or need extra apps.

What to try: Ask one short question every ten minutes that students answer in chat or through a poll. If your tool makes this awkward, that’s your first clue.

Sign 2: Group Work Feels Like a Struggle

Group activities keep students involved. Online, they need breakout rooms.

Most video tools have breakout rooms now. The question is how well they fit teaching. Can you split students into groups ahead of time? Can you jump between rooms to check on each group? Can you send one message to every room, like “Two minutes left”?

Some classroom platforms are built around these controls. Agora’s documentation for its classroom product, for example, describes teachers creating rooms manually or automatically, joining any room, and sending announcements to all rooms. If your current tool leaves you guessing who is where, group work will keep costing you class time. Our post on how to use breakout rooms in online classes shows how to plan them step by step.

What to try: Time how long it takes to set up groups in your next class. If it takes more than a minute or two, the tool is slowing you down.

Sign 3: Your Board Is a Screen Share

Teaching often means drawing. A diagram, a math step, a sentence you mark up as you go.

If you share your screen and use a basic drawing tool, you can get by. But it’s clumsy. Students can’t write on it, and their work disappears when the call ends. A classroom whiteboard is a shared space. You can write, students can join in, and the notes can be reused.

This matters most in subjects like math, science, and languages. It matters less for a lecture-style class. So be honest about how you teach before deciding this is a problem for you.

What to try: Teach one lesson using only your current tool’s drawing features. If you spend more time working around it than teaching, note that.

Sign 4: Your Time Goes to Admin and Repeated Questions

Watch how your class time is really spent.

Some of it is teaching. A surprising amount can go to small things: sharing a link again, answering “What’s the homework?”, fixing someone’s audio, explaining the same step for the fifth time.

This is where an AI tutor can help. An AI tutor is software that answers student questions and explains ideas in simple steps, usually any time a student needs help. In a live class setup, it could take routine questions so the teacher can keep teaching. After class, students could use it to revise. You can learn more about the role of AI tutor in education and how it supports teachers.

There are limits. An AI tutor can make mistakes, so teachers need to check how it’s used and set clear boundaries. It doesn’t replace a teacher, and it won’t fix a weak connection. Research into how much it helps learning is still developing, so treat it as a support tool, not a promise.

If your video meeting tool has nothing like this, and every small question lands on you, you carry the whole load alone.

What to try: Keep a tally for one week of questions you’ve answered more than once. That list shows what could be shared in a document, automated, or handled by a tutor tool.

Sign 5: Class Isn’t Connected to Anything Else

A class doesn’t end when the video call does. Students need recordings, notes, homework, and a place to find them.

With a plain meeting tool, these pieces often sit in different places. A recording link in an email. Notes in a shared drive. Homework in a chat group. Students lose things. Teachers get the same message again: “Where is the link?”

Institutes and universities feel this even more, because many classes run at the same time. Scheduling, attendance, and records need to line up. Platforms built for teaching usually try to keep these in one place, sometimes with a link to a learning management system (LMS).

What to try: Ask a student how they find last week’s recording. If the answer takes more than one step, your setup is adding friction.

So, Should You Switch?

Not always. If you run a small, informal session and your meeting tool works, there’s no need to change anything. Switching platforms takes time, and teachers and students both have to learn something new.

But if you notice two or three of these signs in every class, the tool is likely part of the problem. A virtual classroom platform is designed around teaching, so features like polls, breakout rooms, whiteboards, and attendance sit at the core, not on the side.

Simpech Virtual Classroom is made for teachers, tutors, institutes, schools, and universities teaching live online. Check its feature list against the five signs above, and decide which ones matter for your classes.

FAQs

What is the difference between a video meeting tool and a virtual classroom?

A video meeting tool is built for conversations. A virtual classroom adds teaching tools such as a whiteboard, breakout rooms, polls, attendance tracking, and recordings in one place.

Can I teach well on a video meeting app?

Yes, in many cases. Small classes and simple lessons can work fine. Problems tend to grow with class size, group activities, and the need to track student progress.

What is the role of an AI tutor in education?

An AI tutor supports learning by answering questions, explaining concepts, and offering practice. It works alongside the teacher. It doesn’t replace the teacher.

How do I know when to switch to a virtual classroom platform?

Look for repeated problems: unclear attendance, difficult group work, weak boards, constant admin, and scattered materials. If several appear often, it’s worth testing a platform made for classes.
